Booking Information & Terms & Conditions

By confirming a booking with Myrtle Studios, the Client agrees to the following Terms &
Conditions.
For the purposes of this document, “Client” refers to the individual or company making the
booking, along with any crew, freelancers, cast, contributors, guests, suppliers or representatives
attending the studio on their behalf.

Important Information
Parking
Ample on-site parking is available and no prior notice is required.
Please ensure all vehicles collect a parking permit from a member of staff upon arrival, complete it
correctly, and display it clearly on the dashboard.
Parking permits are charged at £10 + VAT per vehicle, per day.
Myrtle Studios cannot be held responsible for parking fines, theft, damage or loss relating to
vehicles parked on or around the premises.

Studio Access & Overtime
A standard booking day is 9 hours unless otherwise agreed.
Each booking includes a 15-minute grace period, which may be used either at the start or end of
the booking.
Your booking officially begins as soon as the first member of your team arrives on site - whether
for loading in, setup, prep, waiting, or shoot activity.
To avoid incurring overtime, please ensure your team and any deliveries arrive as close to your
agreed call time as possible.
Overtime is charged hourly in accordance with the current Myrtle Studios rate card.
Overtime begins immediately after the agreed booking end time and the grace period has
elapsed.
Overtime is always subject to staff availability, legal working hour restrictions, and subsequent
bookings. Myrtle Studios reserves the right to refuse overtime requests.

Cancellation Policy
All confirmed bookings are liable for the full studio fee if cancelled.
Where more than 48 hours’ notice is provided, Myrtle Studios may, at its discretion, allow the
booking to be moved to an alternative date. Rescheduled bookings will incur a charge equal to
50% of the original booking fee.Cancellations made with less than 48 hours’ notice will require payment in full again in order to
rebook.
Any non-refundable costs already incurred by Myrtle Studios in relation to the booking - including
but not limited to freelance crew, catering, equipment, transport, accommodation, or third-party
supplier costs - remain payable by the Client.
Special events, exclusive hires, or large-scale productions may be subject to separate
cancellation terms, which will be confirmed in writing prior to booking.

Billing & Invoice Policy
Studio hire is pre-billed and payable in advance unless otherwise agreed in writing.
Any additional costs incurred in relation to the booking - including but not limited to overtime,
catering, parking, equipment hire, handling fees, damage charges, cleaning, storage or waste
disposal - will be invoiced separately after the booking.
Post-shoot invoices are payable within 30 days of the invoice date unless otherwise agreed in
writing.
Myrtle Studios reserves the right to withhold future bookings, withdraw discounts, suspend
services or pursue recovery action in the event of unpaid invoices.
Any invoice queries or disputes must be raised in writing within 30 days of the invoice date.
After this period, invoices shall be considered accepted, final and non-negotiable.

Excessive Waste Policy
Clients are welcome to leave behind sets, props, construction materials, Colourama rolls, flats, or
other excessive waste where agreed in advance. Please note that reasonable disposal and labour
fees will apply.
Myrtle Studios reserves the right to charge for additional cleaning, waste removal, reinstatement
or repainting where necessary.

Storage, Deliveries & Collections
We are happy to accommodate early deliveries and delayed collections wherever possible; these
must always be arranged with Myrtle Studios in advance and remain subject to availability.
Overnight storage is charged at £25 + VAT per day.
Large deliveries, set builds, heavy equipment, or excessive amounts of kit requiring staff
assistance with loading or unloading may incur additional handling charges from £50 + VAT.
Unscheduled deliveries, collections, unattended items or failed collections may also incur
additional handling or storage charges.
Any items left at the studio remain entirely at the Client’s risk.
Myrtle Studios reserves the right to dispose of any uncollected items after 30 days unless
otherwise agreed in writing.⸻
Full Terms & Conditions
1. Booking Confirmation
A booking is only considered confirmed once confirmed in writing by both parties.
Verbal agreements, provisional discussions or pencilled dates do not constitute confirmed
bookings.
Myrtle Studios operates a pencil system. Pencil bookings are temporary holds only and may be
challenged by another client.
Where a pencil is challenged, the current pencil holder will typically be given 24 hours to either
confirm the booking or release the date.
Myrtle Studios reserves the right to release any unconfirmed pencil.

2. Studio Use
The Client agrees to use the studio responsibly and safely.
The studio must be left in a reasonably tidy condition following the booking.
Unless agreed otherwise in writing:
* drilling into walls or floors is prohibited
* painting the cove or studio surfaces is prohibited
* glitter, confetti, fake snow, smoke effects, pyrotechnics, open flame, body oil, fake tan,
excessive liquids or hazardous materials are prohibited
* smoking or vaping inside the building is prohibited
Use of smoke machines, haze, wet sets, suspended rigging, vehicles inside the studio, animals,
nudity, stunts, large set builds or other unusual shoot requirements must be approved in writing in
advance.
Myrtle Studios reserves the right to stop any activity deemed unsafe, excessively disruptive,
illegal, or likely to damage the premises.

3. Damage, Cleaning & Reinstatement
The Client accepts responsibility for any loss, damage or excessive wear caused to the building,
studio, cyc/cove, fixtures, furniture, equipment or surrounding areas during the booking.
Any required repairs, repainting, specialist cleaning, waste removal or reinstatement costs will be
charged to the Client.
This may include, but is not limited to:
* damage to cove walls or floors
* paint marks
* adhesive residue
* glitter or confetti contamination
* stains* excessive rubbish
* water damage
* broken furniture or equipment
* unauthorised alterations
Where damage or excessive cleaning prevents the studio from being used for subsequent
bookings, Myrtle Studios reserves the right to charge additional compensation for loss of studio
use.

4. Equipment, Kit Rental & External Suppliers
Myrtle Studios operates an exclusive lighting partnership with GripVan and therefore external
lighting rental companies are generally not permitted on site.
Photographers’ personal equipment is welcome.
If a Client wishes to use an external lighting supplier, this must be agreed in writing in advance
and will incur a surcharge of £300 + VAT per day.
All lighting and grip equipment booked through Myrtle Studios is supplied via GripVan.
Kit lists must be fully confirmed by 1pm on the working day prior to the booking in order to ensure
availability. Myrtle Studios cannot guarantee availability for late additions or amendments made
after this time.
Where kit is booked through Myrtle Studios, the Client must either:
* provide valid proof of their own insurance cover prior to the shoot; or
* opt into Myrtle Studios’ damage waiver / insurance cover.
If the Client wishes to use their own insurance, proof of valid insurance documentation must be
provided to Myrtle Studios before the booking commences.
Where valid insurance documentation is not provided in advance, Myrtle Studios reserves the
right to apply its damage waiver / insurance charge automatically.
Any damage waiver or insurance arranged through Myrtle Studios may be subject to an excess
fee payable by the Client in the event of loss or damage.
Myrtle Studios may coordinate third-party equipment suppliers, catering companies, production
crew or external services on behalf of the Client.
Third-party supplier terms and conditions may also apply.
Myrtle Studios accepts no liability for delays, shortages, faults or failures caused by third-party
suppliers.
Clients remain responsible for ensuring all externally supplied equipment is suitable, insured and
operated safely.
The Client is responsible for ensuring that any equipment brought into the studio is properly
maintained, suitable for use, and PAT tested where legally required.

5. Insurance & Liability
The Client is responsible for obtaining adequate insurance cover relating to:* public liability
* employer’s liability
* hired equipment
* props
* products
* personal belongings
* vehicles
* injury to cast or crew
* production cancellation
All items brought onto the premises remain entirely at the Client’s own risk.
Myrtle Studios shall not be liable for any loss, theft or damage to Client property unless caused
directly by Myrtle Studios’ proven negligence.
Myrtle Studios shall not be liable for:
* indirect or consequential losses
* loss of profit or revenue
* missed shoots
* corrupted or lost files
* power outages
* internet outages
* equipment failure
* delays caused by circumstances outside its reasonable control
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud,
or any liability which cannot legally be excluded under English law.
Myrtle Studios’ total liability relating to any booking shall not exceed the total amount paid by the
Client for that booking.

6. Health & Safety
The Client is responsible for the conduct and safety of all persons attending the booking on their
behalf.
The Client agrees to comply with all applicable health and safety regulations while on site.
Occupancy limits must be adhered to at all times.
In the event of an emergency, fire alarm or evacuation, all persons must leave the building
immediately and follow staff instructions.
Myrtle Studios reserves the right to refuse access or terminate a booking where behaviour is
unsafe, abusive, threatening, discriminatory or unlawful.

7. Deliveries, Storage & Collections
All deliveries and collections must be agreed in advance.
Myrtle Studios accepts no responsibility for loss or damage relating to items delivered to or
collected from the studio.
Storage is entirely at the Client’s risk.Uncollected items may be disposed of after 30 days.

8. Confidentiality & Image Use
Myrtle Studios respects the confidential nature of productions taking place within the studio.
Any confidential information shared between parties should be treated as confidential unless
already publicly available.
Unless otherwise agreed in writing or restricted by NDA, Myrtle Studios may use behind-the-
scenes content or final imagery relating to productions for portfolio, social media, press or
marketing purposes in accordance with normal industry practice.

9. Force Majeure
Myrtle Studios shall not be liable for failure or delay in performing its obligations where caused by
events beyond its reasonable control, including but not limited to:
* power failure
* internet failure
* extreme weather
* flood
* fire
* industrial disputes
* government restrictions
* supplier failure
* transport disruption
* acts of terrorism
* public health emergencies
In such circumstances, Myrtle Studios reserves the right to reschedule, amend or cancel bookings
where reasonably necessary.

10. Termination
Myrtle Studios reserves the right to terminate a booking immediately where:
* invoices remain unpaid
* these Terms are breached
* illegal activity occurs
* the safety of staff or guests is compromised
* the Client behaves abusively or irresponsibly
Termination does not remove the Client’s obligation to pay any outstanding fees or damages.

11. General
These Terms & Conditions are governed by English law and subject to the exclusive jurisdiction of
the English courts.If any provision of these Terms is found to be unenforceable, the remaining provisions shall remain
in full force and effect.
Myrtle Studios reserves the right to amend these Terms & Conditions from time to time.
